1. The data we collect
Depending on how you interact with us, we may collect:
• Your name and, where relevant, your job title
• Your business name
• Contact details, including email address and telephone/mobile number
• Order details and job specifications, for example products ordered, artwork/logos and thread or print colours
• Invoices and payment records, including date, amount and the last four digits of your card number
• Correspondence between us, including emails and text messages relating to your orders or enquiries
We do not store full payment card numbers or security codes (CVV).
2. How we use your data and our lawful bases
We use your personal data to:
• Take, process and fulfil your orders
• Communicate with you about your orders, enquiries or issues
• Keep financial and tax records of our sales and payments received
• Manage and improve our services
The legal bases we rely on under UK data protection law are:
• Contract- for example, to produce and supply your order, communicate about artwork, or arrange collection/delivery
• Legal obligation- to retain invoices and accounting records for tax and audit purposes
• Legitimate interests- for example, keeping a record of communications and disputes relating to orders, provided these interests are not overridden by your rights
3. Where we get your data from
We obtain your personal data directly from you, for example when you:
• Place an order with us
• Provide your details in emails, text messages or other communications
• Pay for your order and receive an invoice or receipt
4. Who we share your data with
We do not sell your data.
We use third-party service providers for payment processing, accounting, email and document storage, website hosting and online enquiry forms. Depending on the service, these organisations may act as our data processors or as independent controllers. We only share personal data where necessary to provide our services, meet legal obligations or protect our legitimate business interests.
These providers include:
• Takepayments- our card payment provider, to process card transactions
• QuickBooks- our accounting software, where sales are recorded as part of aggregated VAT and non-VAT retail sales. We do not maintain a detailed customer profile for you within QuickBooks
• Microsoft 365 and OneDrive- for email and document storage
• Wix- our website and online form provider. If you submit a form on our website, your details, such as your name, email address, phone number, company name and garment/logo requirements, are stored in our Wix account so we can respond to your enquiry and manage your order
Our accountant receives only aggregated financial reports and does not have access to your individual invoice or personal data.
5. Is providing your data mandatory?
Providing your contact and order details is necessary for us to enter into and perform a contract with you, for example to produce and supply your order and issue an invoice. If you do not provide this information, we will be unable to accept or fulfil your order.
You do not have to provide any information that is purely optional, and we will tell you where this is the case.
6. How long we keep your data
We keep your personal data only for as long as necessary for the purposes set out above:
• Invoice and accounting records are normally kept for 7 years to meet legal and tax requirements
• General correspondence, including emails and text messages, does not have a fixed retention period and may be retained for a reasonable period in line with our business needs and any ongoing queries or disputes
7. Where your data is stored
Our email and documents are hosted via Microsoft 365 and OneDrive, with data held within the UK, subject to Microsoft's standard data residency and security arrangements.
If you submit a form on our website, your details are stored in our Wix account so we can manage and respond to your enquiry.
8. Automated decision-making
We do not use automated decision-making or profiling in relation to your personal data.
9. Your rights
You have the following rights in relation to your personal data:
• Right of access - to request a copy of the personal data we hold about you
• Right to rectification - to have inaccurate or incomplete data corrected
• Right to erasure - in certain circumstances, to request deletion of your data
• Right to restriction - to ask us to limit how we use your data in certain cases
• Right to object - to object to our processing where we rely on legitimate interests
